Horse Record Packet: Prepare a Useful PDF for a Vet or New Caregiver

A horse record packet is a selected snapshot of identity and history for a veterinarian, new caregiver, registry, or another recipient. In Creatures, open the horse’s Records area and use Download packet when available. The records tab guide explains where it appears, including the More record actions menu on a phone.
Choose the contents for the recipient’s task. More pages do not automatically make a better handoff, and including private records makes them readable by anyone holding the PDF. This guide complements horse health records and the horse species guide.

Decide what the recipient needs to answer
A veterinary visit may need recent examinations, test results, medications, and relevant observations. A new caregiver may need identity, current care instructions, upcoming work, and the history behind those instructions. A registry may need particular original documents that a general packet does not replace.
Ask for the required documents before exporting. Do not assume a packet is an official health certificate, proof of registration, or an authorization for treatment. It organizes the records you have entered; the authority of each underlying document remains with its issuer.
Write a short cover note outside the packet if necessary: why you are sending it, the period of interest, and the questions you want answered. Avoid burying an urgent issue in a long list of routine entries.
Clean up the source history before exporting
Confirm the correct horse and inspect its identity details. Search records by type and date, then open entries with unclear titles, missing dates, or contradictory wording. Correct known transcription errors from the original source; leave unresolved uncertainties explicit.

If several files describe the same visit, label them clearly in the record notes. Keep the report, instructions, and bill distinguishable. Send any required originals separately after checking their contents; the packet lists attachment names but never embeds the files themselves.
Choose sections, detail, and privacy
The packet options offer the sections available for the horse, such as registrations, identifiers, pedigree, show results, ownership history, and record groups. Empty sections may be listed as having nothing recorded. Every non-empty section and record group starts ticked, except private-only sections, which start unticked and disabled until private records are included. Untick anything the recipient does not need.
Every packet includes the horse’s available basic identity details (name, registered name, breed, sex, date of birth, age and color), its main photo when available, its Creatures profile link and QR code, and your display name as the person who generated it. Ownership history includes current owner and co-owner names and transfer parties. Full detail with private records can also print insurance policy numbers, premiums and contact phone numbers or emails.
Summary provides a shorter record overview; Full includes fields and notes. Select Letter or A4 for the intended use. Review the Include private records choice carefully. Private records, identifiers, and show results included in the packet can be read outside the app.
- Identity and registration: Does this identify the correct horse without unnecessary personal data?
- Health records: Is the relevant period and clinical context included?
- Care records: Can the recipient understand completed work and current instructions?
- Breeding history: Is this needed for the stated task?
- Full detail: Are the extra notes useful and appropriate to disclose?
- Private records: Am I intentionally sharing each included item?
For private profiles, the packet does not include the pedigree. Read the options shown for this horse rather than assuming every profile exports the same sections.
Open the PDF before sending it
Download and inspect the actual file. Check the horse’s name and identifiers, the selected sections, date order, page layout, and whether notes are readable. Confirm that the information you intended to withhold is absent.
The attached-file section is an index of names only. The original files are never embedded in the PDF. File names can themselves reveal personal information, so inspect those too. If the recipient needs a signed certificate, lab report, or full imaging document, include the original separately through a suitable channel after checking it.
A useful test is to imagine receiving only this PDF with no access to your account. Can the recipient understand the dates and source of the claims? Are “last visit,” “next week,” and “usual treatment” too vague without the surrounding conversation?
Keep the export date and the living record distinct
A saved PDF does not update when you edit Creatures later. The default file name is {handle}-record-packet-YYYY-MM-DD.pdf. Keep that identity and export date clear if you rename it, and tell the recipient if you replace an earlier copy. Do not assume changing a record’s privacy can retract a copy already sent.

If Download packet is missing, first confirm your access and check the phone’s More record actions menu. If an expected entry is absent, inspect its type, visibility, and the selected packet group before creating another record.
